Case study - Delmon Pizza
As part of our role to find the best finance solutions for specific businesses we are often lucky enough to embark on some really interesting projects which helps us to meet some truly innovative systems and service providers.
Historically we have provided detailed labour reporting and some small integrations for payroll to automate accounting processes, but the process has still had some manual steps and often the client managed this process via an internal payroll manager. We then played a small role in helping automate the accounting piece.
Then came an opportunity to offer something new and take this to a new level…
You may have seen in previous posts we work with several Quick Service Restaurant Franchises. One of which is a great family business, Delmon Pizza (a Dominos franchise), which we have already migrated to a new finance system and fully integrated its operational systems. They then came to us and wanted to look at Payroll in more detail to see if they could a.) Outsource this function and b.) automate the process as much as possible.
For this, we needed a team, and we found a great one. I am a huge advocate of partnerships and within this, I mean proper partnerships. Mutually beneficial and trusted partnerships with cross referrals rather than just by name or a logo on a website. If I do not feel that I can provide opportunities to a party, personally, I don’t believe it is correct to engage in a partnership discussion.
So armed with my brief I contacted Hayley, founder of Biznus Payroll Ltd whom I have worked with for many years, and I met Mark from paiyroll®️ who is already working with one of our other franchise clients and has developed a payroll system with some excellent features for businesses who employ a large number of shift workers.
From our side, the finance system was already collecting the shift information from the company’s operational rota management system which we then use to produce a range of KPIs such as Labour Productivity, Labour Cost £, Labour Cost %, Labour Margins, Labour Variance vs Targets, Labour Cost Percentage by Day part and many more. All of these are designed to help the business manage its staffing more effectively and make the business more profitable. In summary, this all boils down to the number of hours worked which needs to be entered into the payroll to calculate wages.
This is where Mark and paiyroll® came in. They imported the entire payroll with an automated wizard process including some 500 workers, auto-enrolment and holidays. We created an integration and reviewed the information. We had to recommend some adjustments to the company to improve the data but now we are there and have automated what was a very manual and time-consuming process. paiyroll® also has some excellent features: Shifts are automatically collected each day via Ezora which allows the employees to view a live payslip on their mobile – the live payslip is continually calculated and shows each day’s shift with hours, rate, and store details for the 2-week period up to the prior day. Another great advantage of Paiyroll.com is its ability to automatically calculate the 52-week average weekly holiday pay which many systems are unable to currently manage without manual intervention with the use of spreadsheets. More than 100 Delmon employees log in daily to view and check their shifts. They can also book holidays on the app which are then approved by managers and automatically become part of the payroll while complying with the new 52-week average holiday pay law. Live pay allows workers to report missing hours or incorrect rates before payday thereby ensuring errors are a thing of the past. It is a huge help for the business to be able to ensure data is more accurate or capture queries early, plus allow employees to know exactly how much they will receive on payday.
From here it's then up to the Payroll Wizards at Biznus Payroll to complete the payroll, ensuring all starter information is provided correctly, shift errors are corrected, holiday approvals are dealt with, apply other pay items (including statutory pay items) and manage all the other compliance tasks related to payroll and auto-enrolment pensions.
