Allkind Mental Health, formerly West Central London Mind, is a mental health and wellbeing charity supporting communities across London. The organisation delivers a wide range of services including talking therapies, suicide bereavement, peer support, training, and services for children and young people.
As Allkind Mental Health expanded its services and reached more communities across London, the organisation recognised the need for a finance platform that could better support its future scale, reporting needs and governance ambitions. Existing arrangements had supported the charity’s day-to-day finance operations, but as the organisation grew, reporting, forecasting and workflow requirements became more complex.
The growing complexity of projects, funding streams and service delivery created the need for a more scalable finance platform. The finance team also wanted to reduce administrative effort, enhance existing governance and reporting arrangements, and provide trustees, budget holders and senior leaders with faster, more reliable insights to support decision making.
Forecasting and management reporting were becoming more demanding as the number of available services grew. Allkind wanted a system that would make it easier to produce timely, meaningful information for trustees, budget holders and project managers, while supporting the charity’s broader move towards stronger systems, insight and infrastructure.
Allkind also wanted to improve procure-to-pay, expense management and project-level reporting. With a lean finance team and around 32 users across finance and operational roles, it was essential that the new accounting system was secure, accessible and practical for both finance and non-finance users.
Working closely with Allkind Mental Health, 4PointZero reviewed the organisation’s existing finance requirements and future ambitions. The objective was to implement a cloud-based financial system that could automate routine tasks, support robust controls and deliver clearer visibility across services, projects, departments and funding streams.
The new financial platform needed the capabilities to support management accounts, budgeting, forecasting, project tracking, expense workflows and role-based access, while providing clear audit trails and reliable confidential reporting for trustees, senior leaders and operational teams.
To support its growth, Allkind Mental Health partnered with 4PointZero to implement Xledger, a modern cloud-based finance platform designed to automate key processes, strengthen reporting and provide a single source of truth for financial management across the organisation.
Xledger was selected as the best-fit solution because it brings core finance, reporting, approvals, expenses, projects and forecasting together within a single cloud platform.
4PointZero delivered the implementation, configuring Xledger around Allkind Mental Health’s chart of accounts, cost centres, service lines, locations, projects, fund types and donor reporting requirements. The result was a finance platform capable of delivering more detailed analysis while significantly reducing reliance on manual spreadsheet processes.
Built-in automation also streamlined procurement, expense approvals and financial workflows, helping the finance team support good governance and improve efficiency without adding unnecessary complexity.
User adoption was a key priority throughout the project. 4PointZero worked closely with finance users, budget holders and approvers to ensure they understood how to use the system confidently in their day-to-day roles.
"We’ve gained far more visibility into our financial position since the new system was implemented. Real-time reporting and improved tracking have helped us make more informed decisions. 4PointZero’s experience and support made the process much easier to manage, even with our small team."
“Moving to Xledger has transformed the way we manage our finances. Having automation, approvals and reporting within one system has improved efficiency and strengthened our controls. 4PointZero supported us throughout the transition and ensured we were confident using the platform from day one.”
