Age UK Leicestershire & Rutland is the UK’s leading charity dedicated to improving later life for millions of older people. As the organisation continued to grow and expand its services, the scale and complexity of its financial operations increased. With rising transaction volumes, multiple funding streams and greater reporting requirements, the charity recognised the need to modernise its finance systems to support efficiency, transparency and informed decision making.
Age UK Leicestershire & Rutland partnered with 4PointZero to transition to a modern cloud-based finance solution that could automate key processes, improve financial visibility and provide a scalable foundation for the future.
Age UK Leicestershire & Rutland had operated successfully for many years using an established on premises accounting system. While reliable, the system was increasingly stretched by the demands of a growing organisation. The finance team processed a high volume of donations, grants and operational expenses, often relying on manual workflows and limited automation.
Consolidated reporting and access to real time financial data were becoming more challenging, making it harder for the organisation to respond quickly with confidence. As expectations around efficiency, accuracy and transparency increased, it became clear that a more flexible, cloud based approach was needed.
To support its mission effectively and reduce pressure on internal teams, Age UK Leicestershire & Rutland sought expert guidance on how to modernise its financial processes while maintaining continuity and control.
Working closely with Age UK Leicestershire & Rutland’s finance team, 4PointZero carried out a detailed review of existing processes and reporting requirements. The objective was to introduce automation, improve visibility and simplify day to day finance operations without disrupting critical activities.
The solution needed to support real time reporting, streamline invoice processing, strengthen approval controls and scale as the organisation continued to evolve.
Following a detailed review of requirements, Xledger was selected as the core accounting system, providing real time access to financial data, automated bank reconciliations, embedded OCR functionality and configurable approval workflows within a single platform. Its cloud based structure offered improved accessibility, stronger internal controls and the scalability required to support a growing charity.
By leveraging Xledger’s built in invoice capture, coding and authorisation capabilities, Age UK Leicestershire & Rutland was able to automate accounts payable processes without the need for additional bolt on systems. This reduced manual data entry, strengthened oversight and improved accuracy across financial operations.
The implementation delivered immediate efficiency gains while creating a cohesive system designed to support long term growth.
The transition was delivered in phases to ensure business continuity. Historical data was migrated into Xledger with detailed validation to preserve reporting integrity and ensure accuracy from day one.
System configuration focused on aligning reporting structures, approval hierarchies and user permissions with Age UK Leicestershire & Rutland’s operational model. Xledger’s reporting capabilities were tailored to meet specific management and trustee requirements, giving the finance team and senior leadership clearer and more timely insight into financial performance.
Throughout the process, 4PointZero worked closely with internal stakeholders to ensure the new system enhanced existing workflows while introducing automation and stronger financial controls.
Training was central to the success of the project. 4PointZero delivered tailored Microsoft Teams sessions covering reporting functionality, embedded OCR processing, approval workflows and day to day system management.
Sessions were recorded and made available as an ongoing reference point, supporting knowledge retention and future onboarding. This structured approach ensured the finance team felt confident using the system and were able to realise its benefits quickly.
Since implementation, Age UK Leicestershire & Rutland has experienced significant improvements in efficiency and financial oversight. Invoice processing is faster and more controlled, manual workload has reduced and real time financial data is readily available to support informed decision making.
The finance team now has greater capacity to focus on analysis and strategic support, while leadership benefits from improved visibility and confidence in financial reporting. Importantly, Xledger provides a scalable and fully integrated platform that can continue to support Age UK Leicestershire & Rutland’s mission as the organisation evolves.
