Sheffield Museums Trust is responsible for caring for and managing some of Sheffield’s most significant cultural and heritage destinations. Operating across six museums and galleries, the Trust oversees a diverse portfolio of charitable, educational, retail, and commercial activities that bring the city’s history, art, and innovation to life. Welcoming hundreds of thousands of visitors each year, Sheffield Museums Trust delivers inspiring exhibitions, engaging learning programmes, community initiatives, events, and retail experiences while safeguarding nationally important collections for future generations.
As Sheffield Museums Trust continued to evolve, its finance team recognised the need for a modern, cloud-based finance platform capable of improving efficiency, strengthening reporting capabilities, and supporting future growth.
The Trust had relied on its existing finance system for many years, but as operational demands increased, its limitations became more apparent. As the underlying technology aged and vendor support diminished, reporting became more time-consuming and inflexible, while many core finance processes still depended on manual effort, limiting efficiency and visibility across the organisation.
The finance team spent considerable time exporting data into spreadsheets to produce management reports, monitor budgets, and complete compliance activities. VAT submissions required additional software, while the reporting tools lacked the flexibility needed to deliver meaningful insights for budget holders, senior leadership, and trustees.
With operations spanning multiple sites and entities, the Trust needed a finance solution that could simplify financial management, automate routine processes, and provide a single, accurate view of performance across the entire organisation. Xledger offered the opportunity to modernise finance operations while creating a robust foundation for future development and growth.
To support its finance transformation, Sheffield Museums Trust partnered with 4PointZero to implement Xledger, selecting a scalable cloud-based finance solution designed to reduce manual processes, streamline day-to-day operations, and provide greater visibility across the organisation.
Working collaboratively with the finance team, 4PointZero conducted a comprehensive review of the Trust’s existing processes and future requirements. Key priorities included improving reporting capabilities, simplifying purchasing and approval workflows, automating repetitive manual tasks, and delivering more timely, accurate financial insights.
The Trust’s multi-site and multi-entity structure made it essential that the new solution could deliver consolidated reporting while still providing detailed operational-level visibility. Seamless integration with existing operational systems was another key requirement, ensuring financial data could flow efficiently across the organisation and support stakeholders with the timely, accurate insights needed to enable informed decision-making.
Following a comprehensive review, Xledger was selected as the finance platform best suited to Sheffield Museums Trust’s requirements. Its cloud-based architecture, integrated workflows, and advanced reporting capabilities provided the ideal foundation for modernising finance operations and supporting the Trust’s long-term ambitions.
4PointZero led the implementation from solution design through to deployment, configuring Xledger to support the Trust’s organisational structure, approval processes, and reporting requirements. Financial controls were strengthened through automated workflows, while reporting structures were designed to provide greater visibility across sites, departments, and entities.
The new platform also introduced more efficient management of purchasing, budgeting, and financial reporting processes, reducing reliance on spreadsheets and manual intervention.
Throughout the project, 4PointZero maintained regular engagement with finance stakeholders to ensure the finance system reflected the Trust’s operational needs and long-term objectives. To support adoption, users completed online training courses complemented by role-specific workshops tailored to their day-to-day responsibilities.
Ongoing guidance during implementation and go-live provided additional reassurance, enabling the finance team to transition confidently to the new system with minimal disruption.
With Xledger in place, Sheffield Museums Trust benefits from a modern and connected finance function that delivers efficiency, stronger governance, and enhanced financial insight. Reporting has been streamlined, key processes have been automated, and financial information is readily accessible, providing management teams with a clear view of the organisation’s performance.
By reducing the time spent preparing data, the finance team can focus on analysis and strategic decision-making. Budget holders and senior leaders also have faster access to real-time information, supporting more informed planning and decisions. Automated approval workflows and strengthened financial controls have further reduced administrative effort while improving compliance.
Most importantly, the Trust now has a scalable finance platform capable of supporting its future ambitions and evolving operational needs, enabling it to continue serving the communities and visitors who rely on its museums, galleries, and cultural programmes.
"We’ve gained far more visibility into our financial position since the new system was implemented. Real-time reporting and improved tracking have helped us make more informed decisions. 4PointZero’s experience and support made the process much easier to manage, even with our small team."
“Modernising our financial systems is already making a meaningful difference to the way we work. We still have a long way to go, as system and process changes take time to embed. We are now much closer to having clearer insights, ready to implement stronger controls and have reduced manual process."
“Moving to Xledger has transformed the way we manage our finances. Having automation, approvals and reporting within one system has improved efficiency and strengthened our controls. 4PointZero supported us throughout the transition and ensured we were confident using the platform from day one.”
